ASL/English Interpreting Requests

In alignment with the University Anchor Initiative and the University Antiracism and Inclusive Campus Planning Initiative, Sacramento State is committed to ensuring an inclusive campus for all Students, Faculty, Staff and the campus community at large. As part of these commitments, everyone must ensure all learning activities, including events and programs, are inclusive and accessible so everyone can fully participate. Relative to American Sign Language Interpreting and Real Time Captioning, this guidance is provided to ensure accommodations and technical programmatic access is a consideration at the onset of event and meeting planning.

ASL/English Interpreting Requests

Decision Tree: ASL/Captioning Accommodation Requests at Sacramento State

  1. Is the request for ASL/English Interpreting or Captions at an event related to a student's course?
    Ex: Accommodations for class-related events such as lectures, labs, or discussion groups, field trips and course-required activities.
    1. Yes → Make the request to the Disability Access Center (DAC).
    2. NO → review the next item.

  2. Is the request for ASL/English Interpreting or Captions at an event not related to a student's course?
    Ex: Accommodations for non-class-related events like extracurricular activities, campus lectures or talks, or student club events, research outside of the coursework of a student, guests of student attendees, prospective students, and community members coming to Campus events.

Request accommodations other than ASL/English Interpreting or captioning with the Office for Disability Justice or Human Resources, ADA Analyst.

Inclusion Marketing

Event organizers are expected to include information regarding what accommodations are being provided and/or instructions for how to request accommodations in their promotional or advertising materials. This protocol allows campus events to book services when there is a true need/request.

Edit and add the following language to emails/posters/marketing materials for the attendees:

If/when you have received a request for ASL/English Interpreters and/or Captioning, please email ASL@jdzruiran.com with the complete information listed below.

Interpreting Request Information

It is the responsibility of the Event/Meeting planners/hosts/sponsors to ensure accessibility by submitting the complete information listed below.

  1. Date(s), start/end time of the event
  2. Name, title, Dept/Unit and the contact information of the Event sponsor or host.
  3. Physical Location or Virtual Link for the event
  4. Agenda and material for the event; these can include event planners' “Run of Show” internal documents, attendee handouts, Canvas sites, PowerPoints, etc., Draft materials are fine and at minimum, summarize the content and context of the event.
  5. Names/Titles of the speakers/presenters
  6. Full Names of the participants requesting accommodations, along with their contact info, and how they are affiliated with the University.

Due to the number of requests, and the small number of staff allocated to these tasks, requests can only proceed with the complete information listed above.

ASL/English Interpreting Consulation

Once a request is received and all information is provided, the ASL/English Interpreting Office staff from the College of Education will reply to the Event Sponsor/Host with questions and additional forms and/or documents.

There may be additional questions and information shared which will make the event and/or meetings more inclusive. It is important to plan for flexibility to ensure accessibility can happen. See examples of additional forms and useful documents below.

Once all information is received, services will be confirmed, and the names of the ASL/English Interpreting team will be communicated to the Event Sponsor/Host.
